HARD DISK DRIVE SECURITY OPTIONS
ON MARTIN WHALEN-INSTALLED CANON DEVICES
Standard Security Features on Martin Whalen-Installed Canon Devices
Canon imageRUNNER and imageRUNNER ADVANCE devices have standard security measures in which temporary image data is deleted immediately after processing the job (note: this is a regular file deletion and not a data overwrite, which means that technically the data still exists on the drive, but it’s not easily accessible.) The image data from routine job processing during copying, printing, scanning and faxing is temporarily written to the hard drive in a proprietary Canon file format. This file format is not compatible with file systems commonly used and not useful outside of the Canon device. The hard drive directory information is also stored on a separate system board, making file reconstruction infeasible in the event the hard drive was removed. Furthermore, all temporary and permanent data written to the hard drive is written in random, non-contiguous locations on the hard drive. The compressed data can, in turn, only be read by a Canon device using the proprietary format, which is integral to the operating system of the device, making the stored data highly secure.
Optional Security Measures Available For Martin Whalen-Installed Canon Devices
1. Reformat Hard Drive
· Martin Whalen’s service department will reformat a device’s hard drive at no additional cost at the end of lease/device removal date, provided the customer is upgrading to a new copier or MFP from Martin Whalen.
· At the customer’s request, Martin Whalen’s service department can reformat a device’s hard drive on-site which “wipes” clean the information stored on the hard drive. Professional services fees will be charged by Martin Whalen to perform this service.
· Under most circumstances, this service should only be performed at the end of the lease/device removal date. Please be aware that while reformatting the hard drive provides appropriate protection of customer data for many customers, certain industries may be subject to higher security requirements and/or specific regulations that would necessitate the use of additional Canon security options as outlined below.
2. Hard Drive Replacement
· A customer can purchase a new hard drive to replace the existing hard drive in a device that is being removed from a location. Martin Whalen’s service department will perform the replacement and provide the customer with the original hard drive to dispose of in accordance with their specific security policy. The price of the appropriate hard drive plus professional services fees will be charged by Martin Whalen to perform this service. This service should only be performed at the end of lease/device removal date.
3. Hard Disk Drive Encryption Kit
· On select models, Canon’s Hard Disk Drive Encryption Kit offers the ability to encrypt hard drive contents using either 256 bit AES encryption or 168 bit 3DES encryption depending upon the model. Decryption keys are unique to each individual device. As a result, an encrypted hard drive cannot be removed from one device and read by another device of the same type. This kit has received Common Criteria EAL 3 Certification.
4. Hard Disk Drive Overwrite Kit
· On select models, Canon’s Hard Disk Drive Overwrite Kit offers the ability to overwrite hard drive data up to three times following the completion of each job processed by the device. When the hard disk drive overwrite kit is installed on the imageRUNNER ADVANCE series of devices, the option is available to perform a DoD 5022.22M.compliant 3 – pass overwrite.
5. Removable Hard Drive Kit
· On select Canon models, a removable hard drive kit is also available. Using this kit, customers can physically remove the hard drive in the device for secure storage.
Regardless of which option is selected, the best protection against data theft is to prevent unauthorized access to all equipment capable of storing data digitally. This includes not only copiers and MFP’s, but also personal computers, laptops, mobile “smart” phones, and digital telephone equipment.
